Who are we?
EVAW is a coalition of specialist women’s support services, researchers, activists, survivors and NGOs working to end violence against women and girls in all its forms. We campaign for every level of government to adopt better, more joined up approaches to ending and preventing violence against women and girls, and e challenge the wider cultural attitudes that tolerate and condone this abuse. The EVAW Coalition is a company limited by guarantee (no. 7317881) and a registered charity (no. 1161132).

Types of personal information collected, how we get the personal information and what we use the information for.
Most of the personal information we process is provided to us directly by you for one of the following reasons:
- you are an EVAW Coalition supporter or donor
EVAW relies on donations to support our work. To process individual donations, we collect and process your name, contact details, and information about the donation and any Gift Aid. This is based on the legal basis of a performance of a contract. If you do not provide us with the information necessary to fulfil the contract, we will not be able to processed with the donation. If you would like to receive updates about our work and fundraising appeals, we will use your contact details to communicate with you, in the format that you choose. This processing and contact is based on your consent. You can unsubscribe from electronic communications at any time.
We will not place you under undue pressure to support us. If we get things wrong, please let us know and we will take on board your views and endeavour to improve our communication in the future.
We want to improve how we talk to you and the information we provide. We may send out selected information that we think may be particularly appropriate to you, based on an understanding of the data that we hold about you.

- you or an organisation that you work for is a member of the EVAW Coalition
EVAW is a membership organisation. When you apply to become either an individual member or a member organisation of EVAW, we collect information as part of the process including contact names and other contact details.
We will keep you up to date with our plans, campaigns, activities, and appeals, as well as members’ meetings and other events.
This processing is based on the legal basis of it being necessary for pursuing our legitimate interests to maintain contact with our membership base.
- you are a survivor of violence who has contacted us for support
Sometimes women who have been affected by violence contact us to access support. Although as a campaigning organisation we are unable to offer individual support we are conscious that women contacting us may be vulnerable and disclose sensitive information to us. We will endeavour to signpost you to appropriate services who can support you. With your consent we may share your information with services or individuals which may be able to help you.
EVAW will not share your information without your consent unless required to do so by any applicable law. If you provide personal information to us, for example your name and contact or other details, we will be extremely careful to keep your information safe.
- you are an employee, another type of colleague of EVAW Coalition, or apply for a job with us
When you apply to work for us, as an employee, a trustee or director, or as a volunteer to provide our services, we collect information as part of the application and assessment procedure including your name, contact details, and experience, and we may ask for references and criminal record information. When you work with us we will continue to process your personal data to manage our relationship with you. This processing is based on the legal basis of it being necessary for your employment contract or for pursuing our legitimate interests of managing our professional relationship and protecting the people we provide services to. If you do not provide us with the information necessary to fulfil the employment contract, we will not be able to processed with hiring you.
- You contact us
When you contact us for media enquiries, general enquires, you may provide us with personal information. Only information that is needed to deal with your enquiry will be shared internally or with the appropriate third party. We will keep this information to provide to deal with your enquiry. This processing is based on your consent. You can unsubscribe at any time.
- You interact with us on social media
We use twitter, to promote our activities and events. When you comment on our posts or send us a private message you may provide us with your personal information. We will use the personal data you provide to us to communicate with you. This is based on the legal basis of pursuing our legitimate interest of increasing audience engagement on social media, responding to your queries and comments and updating you with our content.
Who else will see the information?
We will share your data with our subcontractors, who help us manage our business, and we will pass your personal data that is required for them to carry out their work, for Human Resources and Finance purposes. We will only provide them with the minimal data that they need.
We may transfer your data between our coalition of support services, researchers, and NGOs where needed to carry out our role in supporting you and directing you to the appropriate services. We will only provide them with the minimal data that they need.
Where legally required we will share your information with other third parties such as insures, government agencies, regulators, and the charity commission. Occasionally we will need to share personal data with a third party or suppliers outside the European Economic Area (EEA). The EEA includes all EU Member countries as well as a number of other countries that have received an Adequacy Decision from the EU Commission. We have put in place the necessary safeguards to ensure the data is protected on these occasions.
How we look after your data?
We have appropriate technical and organisational measures in place to ensure that your data is protected. Only those who are required to see your personal information for the intended purpose will do so, and access is provided on a need-to-know basis. We also ensure that appropriate contracts are in place with third parties.
Retention
We keep your personal data for only as long as it is necessary for the purpose for which it was collected. We have put in place a retention procedure, so please do contact us if you would like to understand specific retention periods that affect the data we are processing on you. Your right of access – You have the right to ask us for copies of your personal information. We may in some circumstances need to check that what you have told us is accurate and require a form of identification.
Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. We may not be able to do so immediately if we have a lawful reason or a legal or contractual obligation to retain the information or continue the processing. We will notify you if this is the case.
Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances. We may not be able to do so immediately if we have a lawful reason or a legal or contractual obligation to retain the information or continue the processing. We will notify you if this is the case.
Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances. We may not be able to do so immediately if we have a lawful reason or a legal or contractual obligation to retain the information or continue the processing. We will notify you if this is the case.
Where you have given consent, you have the right to withdraw your consent at any time.
You have the right not to be subject to a decision based solely on an automated process.
We do not use automated processing. You have the right to complain to the Information Commissioner’s Office, the supervisory authority that handles data protection law in the UK.
